Leveraging Robotic Process Automation to Enhance Efficiency in a PACE Program

Overview

The artificial intelligence (AI) and Robotic Process Automation (RPA) initiative by ArchCare, in partnership with NuAIg, is designed to enhance operational efficiency within the PACE program. From the outset, ArchCare and NuAIg worked closely to streamline processes related to team members' adherence to CMS standards. By collaboratively assessing five critical areas, the team was able to identify opportunities for improvement, focusing on compliance needs and operational enhancements. Together, ArchCare and NuAIg prioritized each process and implemented customized RPA solutions to optimize compliance tracking and reinforce audit accuracy. This initiative reflects ArchCare’s commitment to continuous improvement and operational excellence, supporting its goal of achieving 100% audit compliance.

Business Challenge

  • Manually tracking compliance tasks such as service requests, assessments, and external appointments
  • Time-consuming, error-prone processes and a lack of centralized visibility.
  • Key data is dispersed across multiple EHR modules
  • Limited ability to monitor assessments
ArchCare faced several challenges prior to implementing automation, making it difficult to efficiently access and act on critical information. They were also keen on achieving 100% CMS audit compliance. They were grappling with high administrative burden. A resistance to change during the transition to automated systems further complicated operations. Ongoing maintenance of the new systems also required careful planning and dedicated resources to ensure sustained performance and compliance.

NuAIg Solution

To address these challenges, ArchCare partnered with NuAIg to implement customized Robotic Process Automation (RPA) solutions tailored to the PACE program’s needs. The solution automated data extraction from the EMR system, centralized appointment and assessment tracking, and generated real-time, customized reports to support compliance and operational oversight.
Service Delivery Requests, external appointments, and initial/re-assessments were streamlined through low-code RPA tools, reducing manual effort and minimizing errors. The system integrated seamlessly with existing tools—such as the EMR, email platform, and document storage—and adhered to HIPAA regulations via secure AWS-hosted infrastructure.
This automation enabled timely alerts, improved compliance monitoring, and provided the interdisciplinary team with actionable insights, ultimately enhancing care coordination, reducing administrative burden, and supporting ArchCare’s goal of 100% audit compliance.
